Preconstruction Coordinator

Columbia, MD
SPECIFIC RESPONSIBILITIES
  • Manage new subcontractor bidder registration process and approval process and gather reference checks for estimator follow-up by utilizing bidder registration application. Continually update existing and new subcontractor information in Dynamics. Ensure new prequalified trade partners receive invitations for appropriate opportunities, and ensure estimators are managing and tracking responses to provide proper proposal feedback with necessary follow-up action in a timely fashion.
  • Order and distribute plans, specs, and bid documents with printer company for estimating and project managers.
  • Upload and process each project’s plans, specs, and documents to Procore as received from bid date to end of preconstruction. Review each sheet to ensure that it is labeled and dated correctly and notify estimators of discrepancies.
  • Update and maintain Harkins bid board with current bid documents during preconstruction and construction.
  • Schedule GMP, Preconstruction Turnover, SPR, and other project milestone meetings which involves coordination between numerous calendars.
  • Assist with HUD/CDA/VHDA submissions, bid bonds, etc., for projects requiring documentation.
  • Assist with RFP/RFQ submissions as required.
  • Maintain and renew annually all local & state jurisdiction pre-qualifications.
  • Manage estimator participation and attendance for networking and GC meet and greet events.
  • Attend required corporate meetings, training programs, and Harkins University seminars/webinars.
  • Assist Estimating Department with setting up lunches, and Lunch & Learn meetings, for the estimating department.
PREFERRED QUALIFICATIONS
  • High school diploma.
  • Minimum 1 year of administrative experience, particularly working with senior management.
  • Knowledge of construction projects and preconstruction process is a plus.
  • Self-starter, organized, thorough, and detail-oriented.
  • Exhibits good communication skills, both written and verbal.
  • Experience using MS Office Suite (Word, Excel, and Outlook) and Windows. Procore is a plus.
  • Team player willing to assist others with job duties.
